Eight tools, checked October 2026

Best cold email software in 2026

Eight tools compared on price, mailboxes, warmup and data, with who each one suits. We make one of them.

14-day trial, no credit card.

How this list was made.

We picked eight tools that teams commonly weigh for cold email, then read each one's own pricing and product pages in October 2026. Every price is a monthly list price in US dollars unless it says otherwise, before tax and promotions.

We make Fuzegenai, so it is listed first and you should weigh its entry with that in mind. The other seven are in alphabetical order, not ranked. Each entry says who the tool suits and one thing worth knowing before you buy.

Where a vendor's own pages did not state something, we left it out rather than guess. The sources are linked at the bottom of the page.

The eight, at a glance.

What to look for.

Six questions that separate these tools faster than a feature list.

Deliverability controls in the send.

Warmup is table stakes now. Ask what happens to a badly worded email and to a mailbox whose reputation slips. A check before each send costs you a held email instead of a burned domain.

A pricing model that matches how you grow.

Tools price per workspace, per seat, per contact reached or by volume. Model your next year: more people, more mailboxes or more prospects. The cheapest entry plan is rarely the cheapest at your size.

Mailbox limits and rotation.

Cold email spreads volume across many mailboxes. Some tools allow unlimited accounts, some cap them by plan, and some cap how many rotate in one campaign. Count the mailboxes you need.

Where your leads come from.

Built-in databases range from hundreds of thousands to over a billion records, and nearly all charge credits to reveal emails. If you already buy data elsewhere, do not pay for it twice.

Channels beyond email.

If every sequence includes calls or social steps, you need a tool built for that, usually priced per user. If your outbound is email, you can skip paying for channels you will not use.

Agency features and migration.

Agencies need client separation, and some need their own branding. If you already run campaigns, check whether the new tool imports them or whether you rebuild by hand.

The tools, one by one.

What each is, what it costs, and the one thing to check before you sign up.

01

Fuzegenai

Best for

Teams that want every campaign email checked before it is sent

Fuzegenai is our product, so read this entry with that in mind. It is a cold email platform where deliverability is part of the send. Each mailbox's DNS is checked when it connects, warmup runs on a ramp, and every campaign email is spam-scored by rspamd before it leaves.

An email scoring under 2.0 is sent. From 2.0 it is held for a rewrite, and at 8.0 it is blocked. If the scorer is unreachable, sends wait. Each mailbox also has a reputation score: a bad one cuts it to 20% of its campaign share, and a very bad one pauses it while the others carry on.

Plans
Starter $39, Professional $79 a month; Enterprise priced by our team
Volume
10,000 a month on Starter, 100,000 on Professional
Seats
10 on Starter, 30 on Professional
Agencies
A workspace per client (3 on Starter, 10 on Professional) and client portals. Portals are not rebranded
Import
Instantly, Smartlead and MailerLite, with an API key
Trial
14 days, no card. 1 mailbox and 50 emails

Worth knowing: Mailboxes are capped at 10, 50 and 250 by plan, it sends email only, and its lead database is small next to the data-first tools.

02

Apollo

Best for

Prospecting from a large contact database in the same seat

Apollo is a sales platform built around a contact database of 240M contacts and 30M companies, paid for through credits included with each seat. Email sequences, a dialer and a unified inbox sit on top of that data.

Its free plan has no time limit and sends up to 250 emails a day, as does Basic. Professional removes the daily cap and allows unlimited Google and Microsoft mailboxes plus 5 SMTP mailboxes per user.

Plans
Free $0; Basic $65, Professional $99 per seat a month; Organization $119 per seat, annual only, minimum 3 seats
Yearly
Basic $49, Professional $79 per seat a month
Calling
US dialer on credits from Basic; Advanced Dialer add-on $119 per team a month
Trial
14-day trial of paid plans, then the free plan

Worth knowing: Every seat is billed, so cost grows with headcount, and warmup draws on the same credits as data.

03

Instantly

Best for

Large mailbox pools on a flat workspace price

Instantly prices its outreach plans per workspace with unlimited email accounts and unlimited warmup on every plan. Plans step up by emails per month and uploaded contacts: Growth covers 5,000 emails and 1,000 contacts, and Light Speed covers 500,000 emails and 100,000 contacts.

Lead data is a separate Credits plan with a database of 450M+ B2B leads, from $47 a month. Inbox placement tests are included: unlimited one-time tests on Growth and automated tests on Hypergrowth.

Plans
Growth $47, Hypergrowth $97, Light Speed $358 a month; Enterprise custom
Agencies
White-label on Hypergrowth and Light Speed
Inbox
Unibox
Trial
14 days, no card: 2 accounts, 250 leads, 1,000 emails

Worth knowing: Lead data is a second subscription, and the entry plan's 5,000 emails a month is low for most teams.

04

lemlist

Best for

Sequences that mix email with LinkedIn, SMS and calls

lemlist has two shapes. The Email plan is priced by volume, $69 a month for 50,000 emails, with unlimited users and email senders. The Multichannel plan, $109 per user a month, adds LinkedIn automation, SMS, a built-in dialer and a WhatsApp add-on.

Its lemwarm warmup is included in all plans. A 650M+ leads database is available, with enrichment credits sold as an add-on from $20 a month for 2,000 credits.

Plans
Email $69 a month; Multichannel $109 per user a month; Enterprise custom, minimum 5 seats
Yearly
Email $55, Multichannel $87 per user a month
CRM
HubSpot, Salesforce and Pipedrive
Trial
14 days, no card, with 200 credits

Worth knowing: The channels beyond email are priced per user, so a team that needs them pays per person.

05

Reply.io

Best for

Teams that want an AI SDR option alongside email

Reply.io's Email Volume plans are priced by active contacts a month, meaning people who get a first email; follow-ups are unlimited. Up to 5,000 contacts the price is per user, from $59 a month for 1,000 contacts; from 10,000 contacts users are unlimited, at $179 a month.

Warmup is included with every mailbox. Live data from 1 billion B2B contacts comes with 50 credits a month. LinkedIn can be added at $69 a month per account, and an AI SDR plan starts at $500 a month on yearly billing.

Plans
Email Volume from $59 per user a month; Multichannel $99 per user a month
Yearly
Email Volume from $49 per user; Multichannel $89 per user
Mailboxes
Unlimited on Email Volume, subject to fair use
Trial
14 days, all core features

Worth knowing: The active-contacts model rewards long sequences to few people; reaching many new people each month costs more.

Saleshandy

Best for

Agencies running many clients on one budget plan

Saleshandy sells plans with users included rather than per seat. Starter is $41 a month for one user, 2,000 active prospects and 6,000 emails; Pro is $99 for ten users and 100,000 emails; Scale is $189 for unlimited users and 200,000 emails.

Email accounts and warmup are unlimited, though sender rotation in a campaign is capped at 10, 100 or 1,000 accounts by plan. Unlimited clients are included on all three plans, and each plan bundles Lead Finder credits for an 852M+ contact database.

Plans
Starter $41, Pro $99, Scale $189 a month
Yearly
Starter $34, Pro $76, Scale $149 a month
Inbox
Unified inbox on all plans
Trial
7 days on paid plans, no card, capped at 100 emails

Worth knowing: The trial is short, and Starter's single user means a team starts at Pro.

07

Smartlead

Best for

Lead-gen agencies that want big mailbox pools and add-ons

Smartlead prices per account, “not per seat and not per mailbox”, with unlimited email accounts and warmup on all plans. Base is $39 a month for 6,000 emails and 2,000 contacts; Pro is $94 for 90,000 emails; the two Unlimited plans store unlimited contacts.

Much is sold as add-ons: verified prospect emails at $59 a month on Base and Pro, SmartDelivery placement testing from $49, SmartServers at $39 per server, and white-label client workspaces at $29 each from Pro.

Plans
Base $39, Pro $94, Unlimited Smart $174, Unlimited Prime $379 a month
Yearly

Trial

Worth knowing: Add-ons are where the bill grows, so price the ones you will need, not only the plan.

08

Woodpecker

Best for

Paying by prospects contacted, with team seats free

Woodpecker prices by contacted prospects, not seats: unlimited team members are free. The entry tier is $35 a month for 500 contacted prospects, which allows 8,000 emails, because each prospect allows 16 emails.

Email accounts connect at no extra cost. Each tier includes some free warm-ups, two at the entry tier, and extra ones are $5 a month per account. LinkedIn steps, an agency panel, a branded client view and API access are add-ons.

Add-ons
LinkedIn $29 per account, agency panel $27 per client, API $20 a month
Yearly
Saves 33%
Data
+1 billion B2B database; Lead Finder credits from 500 for $10
Trial
14 days or 100 emails, whichever comes first, no card

Worth knowing: Integrations and the API are an add-on, so a team that syncs a CRM pays for it separately.

Choosing cold email software, answered.

Short answers to the questions buyers ask most.

What is the best cold email software in 2026?

There is no single best tool; it depends on what limits you. For deliverability checks inside every send, Fuzegenai. For very large mailbox pools, Instantly or Smartlead. For sequences that mix email with other channels, lemlist or Reply.io. For a big contact database in the same seat, Apollo. The table on this page compares all eight.

How did you choose and order these tools?

We picked tools that teams commonly compare for cold email and read each one's own pricing and product pages in October 2026. We make Fuzegenai, so it is listed first and you should weigh its entry with that in mind. The rest are in alphabetical order, not ranked.

What should I look for in cold email software?

Deliverability controls (warmup, DNS checks, a check before each send), a pricing model that matches how you grow, mailbox limits, where your leads come from, and whether you need agency features or other channels. Migration matters too if you already run campaigns elsewhere.

Is cold email software priced per user or per mailbox?

Both, and some use neither. Some price per workspace with no cap on email accounts, some price per user or seat, some by contacts reached, and some by sending volume with seats included. Fuzegenai is priced by plan, with seats included and a mailbox cap per plan.

Do I need a separate warmup tool?

Usually not: every tool on this list includes warmup in some form, though how much and on which plans differs. Check whether warmup is unlimited, capped per plan, or paid per extra mailbox.

Is there free cold email software?

Apollo has a free plan with daily sending limits. The others offer free trials, most of them 14 days. Fuzegenai has a 14-day trial with no credit card and also offers a free spam checker and domain checker with no signup.
